E-Vote-ID Conference for Electronic Voting

The E-Vote-ID is a leading international event for e-voting experts from all over the world, taking place in Bregenz (Austria) in the first week of October. One of E-Vote-ID’s major objectives is to provide a forum for interdisciplinary and open discussion of all issues related to electronic voting (including, but not limited to, polling stations, kiosks, ballot scanners, and Internet voting). The format of the conference is a three-day meeting. No parallel sessions are held and sufficient space will be given for informal communication.

Facts about the conference

Timeframe

The 3-day conference takes place each year, normally during the first week in October. This timeframe has remained unaltered since the first conference and allows having an identifiable timeline for managing the conference preparatory works.

Attendance

Attendance is typically between 100-140 people for in-person conferences.

Venue

The conference was held for the first seven joint conferences (after merging EVOTE and Vote-ID Conferences) in Bregenz (Austria) and, after that, it started itinerating (Luxembourg 2023, Tarragona 2024, Nancy 2025).

Format

In total, the conference runs for four days. The first day is dedicated to a PhD Colloquium. A welcome reception together with a demo & poster session is held on the first or second night. The conference follows with three days of conference, with traditional keynote plenary speakers (one per track) and a general dinner at the end of the full-conference second day. Differently from other conferences, the three main tracks of the conference are presented in a single room, avoiding parallel sessions and splitting the audience: all the participants take part in the three tracks allowing an immersive experience. The event also includes a rump session and an award ceremony before the second day conference dinner.

Tracks

E-Vote-ID offers 5 tracks. The participants can attend all the sessions and ensure the knowledge transfer between research communities.

The tracks are (the first three being the main tracks):

Track 1: Security, Usability and Technical Issues
Track 2: Governance Issues
Track 3: Election and Practical Experiences
Track 4: Posters and Demonstrations
Track 5: PhD Colloquium

Tracks are fixed and managed by two track chairs (for Track 4 it is usually one) which are staggered, each chair serving two years, before joining the steering committee.

Review Process and Publishers

Submissions to tracks 1, 2, 3 are selected through a double-blind peer-review process using Easychair. Correspondingly the track chairs invite people to three respective PC lists. The acceptance rates differ depending on the proceedings where the paper is published. Springer LNCS (aiming for Open Access) proceedings acceptance rate is below 30%. The aggregate with the second publisher (German Informatics Society - also open access) proceedings reaches 50%.

Conference roles and responsibilities

General Chairs

The conference has three General Chairs. The role of General Chair has no fixed periods. They are renewed if one of the members decides to leave that position. In this occasion, a new name is proposed and agreed with the Steering Committee. The General Chairs oversee the organization and management of the academic part of the conference.

Local Chair/s

The Local Chairs take care of aspects related to the venue and the local organization of the conference.

Track Chair/s (Tracks 1, 2, 3)

The Track Chairs for the tracks 1, 2, 3 are in charge of aspects related with the management and organization of the three main conference tracks.

Track Chair/s (Track 4)

The Track Chair (normally two persons) for the track 4 is renewed every two years. He/she is in charge of the organization of the Demo/Poster Session.

Track Chair/s (Track 5)

The Track Chairs for the track 5 are renewed every two years but not simultaneously, one being a chair in the previous conference, one being new. They are in charge of the organization of the PhD Colloquium.
